A few technical details

Device familiarity

Please take time to familiarize yourself with the device you have been issued and its basic functions - taking pictures, understanding folder structure to locate and save documents to attach, etc.

Location services

The platform is designed to take note of your location to a reasonable degree of accuracy ahead of recording data. You will need to turn on location services on the device to use the platform.

Data entry timeframe

You can record data for the current month and/or the most recently ended month. You are not able to enter data for a previous month once more than 30 days have elapsed since that month ended.
You will be prompted to select the period to which the data (you intend to record) relates at the beginning of the Data Entry flow. If you select a month in the future, you will be restricted to recording data in the Budget and Targets section only.

Time interval selection for certain data

In certain areas - such as in the Business Plan/Budget section - the data you’re recording may be related to a quarter, half-year or full year. Where this may be the case, you will be prompted to select the time interval. Ensuring you enter the correct time period will aid the platform in correctly analyzing the data for you.

Flexible data entry options

You are able to enter data in one or a few sections, such as if you had an urgent or interesting current observation during a PHC visit and submit the data, or fill out all the sections in one go. You are also able to save the entry as a draft to work on later.

Draft feature and auto-save

The draft feature allows you to save your work and return to it later. If you begin entering information and are unable to complete the form in one sitting, the app automatically saves your progress as a draft. This ensures that no information is lost and allows you to continue from where you left off at a later time. You can choose to:
Continue working on a saved draft, or
Start a new entry, depending on your needs.
Please note: Drafts are stored for up to 30 days, after which they are automatically deleted. It is important to review and complete your entries within this period to avoid losing any saved information.

Persisting data across months

Certain data, once recorded and submitted, persists for subsequent new entries you create but may be edited. For example, you may have entered the PHC clinical targets in May 2025, so you will see those targets already filled in when you begin entering data for June. However, you will be able to edit the data if necessary.

Data referencing

The platform will reference data recorded in certain sections in further sections of the app. For instance, the app will compare clinical metrics you record in June 2025 to the clinical targets previously entered (i.e. the most recent version of that data, if you edited it).
